AI assistant

The AI assistant in the dashboard answers everyday questions about rental operations and Belgian rental law in plain language. It is separate from bank reconciliation, which automatically links incoming transfers to your expected rent payments.

You can ask about late rents, lease details, or Belgian rental law; answers are grounded in your data and the documents you upload.

To reply, Propria combines several sources — in this order:

1. Your organisation’s instructions (admin)

An administrator can set an introductory text under Settings → Assistant: tone, reminders (“not legal advice”), internal procedures. This applies to every conversation.

A recent summary of your buildings, tenants, active leases, and payments lets the assistant answer questions such as “who is late?” or “what is the rent for unit X?” without you copying spreadsheets.

Legislation PDFs uploaded by an administrator under Settings → General serve as a legal reference. The assistant finds relevant passages for your question and cites the document and page when possible.

Only administrators can add, update, or remove these PDFs.

When you select a building in the chat, the assistant can also use that building’s PDFs:

  • Insurance, claims, maintenance, and other files.
  • Uploaded on the building detail page (not in the documents hub).

Use this for questions about an insurance policy, a claim file, or maintenance history for a specific property.

  • Conversations use a configurable AI provider: Ollama (local), OpenAI, or Gemini.
  • Your data and indexed documents stay hosted in the European Union. See Users & access for roles and security.
  • Select the relevant building when the question is about that property’s files.
  • Ask an administrator to refresh the legislation library after new PDFs are uploaded.
  • Do not treat answers as binding legal advice — verify against official sources and your counsel.
